Administrative Assistant – Elementary School

Position Purpose
Under the direct supervision of the principal or other administrator, and as assigned by the Secretary to the Superintendent, to provide clerical, secretarial and administrative assistance to school administrators at Charles J. Sahs School, conveying information regarding school functions and procedures; and supporting the broad array of services provided to students, parents, instructional and support employees. This individual attends to numerous tasks that require attention to detail; knowledge of Google, Microsoft, spreadsheets, and database applications and must have organizational skills that ensure the smooth operation and functioning of the school’s main office. 

Qualifications

  • High School Diploma or GED
  • Bilingual Spanish and English preferred
  • Successful experience with office management preferred
  • Proficient with PCs and other office equipment
  • Proficient with Google Apps, Microsoft Office, and other cloud-based applications
  • Proficient with data management systems and analysis
  • Effective interpersonal skills and written and oral communication skills
  • Strong organizational skills and ability to work independently
  • Ability to maintain confidentiality

Essential Functions

  • Maintains effective and efficient function of the daily operations in the school’s main office by managing daily office traffic, mail, phone calls, and electronic communications. 
  • Assists in planning and scheduling school events and activities, and maintaining calendar of school and student events for the purpose of coordinating and scheduling events such as orientation, open house, field trips, sporting events, assemblies, conferences, etc.
  • Maintains daily student attendance and manages local and state data entry for attendance. 
  • Maintains and processes data and ordering for all school food nutrition program requirements. 
  • Assists in maintaining documents, files, student records, and building level records in compliance with legal school records requirements. 
  • Prepare and maintains orders for office supplies, curriculum needs, and other orders as needed. 
  • Assists in maintaining inventories of supplies and materials for the purpose of ensuring items’ availability.
  • Assist visitors to the office, including students, staff, parents, substitutes, and others.
  • Answers telephone calls, and provide information and assistance to callers.
  • Distribute incoming mail appropriately; sends outgoing mail, and facilitates electronic fax system for the school. 
  • Prepares, copies and distributes notices, memoranda or other correspondence for the purpose of informing school employees regarding activities, events or other work-related matters.
  • Evaluates situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  • Registers new students, making sure forms are completed, obtaining transcripts and other documentation as needed, and entering data into computer system regarding enrollment and student records (e.g., transportation, free and reduced lunch program, attendance, withdrawals).
  • Responds to inquiries from students, parents and employees, providing information, facilitating communication among parties and/or providing direction.
